Under direct supervision, the Medical Office Associate provides patient-facing administrative support and non-clinical clerical services within an outpatient clinic setting. This role applies knowledge of institutional policies and procedures related to patient registration, insurance verification, billing, account maintenance, and collections.

The position serves as a key liaison between patients, providers, and clinical support services to support efficient clinic operations and a high-quality patient experience.

This position is located within a University of Illinois Chicago (UIC) Department of Medicine off-site clinic: South Loop Comprehensive Medicine Clinic - 2600 South Michigan Avenue Chicago, Illinois 60616

Duties & Responsibilities:

Clinic Reception and Scheduling
  • Greets patients and visitors in a professional, courteous, and customer-focused manner.
  • Answers, screens, and appropriately routes incoming telephone calls.
  • Schedules, reschedules, and cancels outpatient clinic appointments.
  • Provides clear and accurate information regarding clinic processes and appointment logistics

Patient Registration and Discharge Support
  • Performs patient check-in and check-out functions.
  • Prepares, distributes, and assists with completion of required patient forms, including consent and authorization documents.
  • Reviews documentation for completeness and accuracy.
  • Completes insurance and third-party claim forms in accordance with established procedures.

Medical Record Management
  • Enters, codes, verifies, retrieves, and maintains patient information within the electronic medical record (EMR) system.
  • Compiles and maintains medical charts, correspondence, reports, and insurance documentation.
  • Ensures confidentiality, accuracy, and compliance with applicable policies and regulations

Patient and Staff Communication
  • Responds to routine inquiries from patients, families, visitors, and staff in a timely and professional manner.
  • Communicates routine, non-clinical information consistent with institutional guidelines.
  • Assists with patient flow by escorting patients to designated clinical areas as needed.

Insurance and Billing Support
  • Educates patients on clinic billing practices, insurance requirements, and payment procedures.
  • Assists with basic insurance verification and documentation as appropriate.

Data Entry and Information Accuracy
  • Accurately enters and updates patient demographic and insurance information in electronic systems.
  • Verifies data for completeness and accuracy to support billing and clinical operations.

Office Systems and Equipment
  • Operates standard office equipment, including copiers, scanners, and telephone systems.
  • Utilizes word processing, spreadsheet, and other software applications to support clinic operations and reporting.

Supply and Environment Management
  • Orders and maintains clerical and administrative supplies.
  • Ensures waiting areas and administrative workspaces are clean, organized, and welcoming.
  • Supports compliance with IDPH and institutional work environment standards.

General Administrative and Operational Support
  • Provides cross-coverage and operational support to ensure continuity of clinic services.
  • Assists with workflow coordination and front-end/back-end clinic processes.
  • Participates in quality improvement initiatives, audits, and special projects.
  • Performs other related duties as assigned.


Minimum Qualifications Required:

  1. High school diploma or equivalent.
  2. Any one or any combination totaling one (1) year (12 months), from the categories below:
    1. Work experience comparable to that performed at the Medical Office Assistant level or in other positions of comparable responsibility.
    2. Work experience in a health care facility such as a doctor's, dentist's, or hospital's office; which involved record keeping, working with the public, direct patient contact, answering telephones, and working with medical terminology.
    3. Graduation from an accredited medical secretarial or paramedical program, such as nursing assistant, medical assistant, or medical secretary.
