This is a temporary position. Extension or conversion to a regular role may be considered based on business need and performance, but there is no guarantee of permanent employment.

Purpose
This position provides administrative support to the HR Team acting as a liaison to management/employees and coordinating special projects, to ensure efficient and professional operations. This position requires strong communication skills and the ability to work in a team environment and maintain effective working relationships with all levels of employees, staff, and management.

Technical / Specialty Area
  1. Under limited supervision, performs a variety of administrative, human resource and office support functions to ensure daily operations run efficiently and professionally.
  2. Assists Recruiter with the onboarding of administrative employee new hires and temporary agency employees. Prepares and distributes new hire packets, submitting background checks, scheduling pre-employment drug screenings, processing, and submitting new hire paperwork, and interfacing with the applicant and hiring manager as needed.
  3. Prepares, processes, and distributes a wide variety of information, (vehicle allowance, employment verifications, subpoenas, correspondence, reports, procedures, policies, etc.) some of which will be highly confidential and sensitive in nature, to ensure timely and accurate communications.
  4. Enters required new hire/rehire information into the E-Verify system to ensure employment eligibility and handle appropriate follow up if any employability issues come back from E-Verify.
  5. Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately; including archiving terminated employee files.
  6. Schedules and coordinates meetings (including meeting invites, agendas, materials, food/refreshment, meeting minutes), to ensure deadlines are met.
  7. Serves as the point person for all telephone, mail, and in person inquiries to ensure all matters of significance are brought to attention and that outstanding customer service is provided.
  8. Codes, processes, and tracks expenses/invoices to ensure accurate accounting and budgeting.
  9. Reviews invoices and charges to ensure that the vendors meet service agreements and are accurate before submitting for payment. Cost codes all HR department invoices.
  10. Actively supports Teichert's strategic plan and business unit goals and objectives.
  11. Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.

Relationships, Qualifications and Requirements, & Competencies

Education:
  • High school diploma required and at least 3 years of experience in a Human Resources department or equivalent combination of technical training and related experience.
Experience & Industry Expertise:
  • 3+ years of increasingly responsible office administrative experience
  • Prior experience in Human Resources a plus

Specific Job Requirements:
  • Ability to maintain confidentiality at all times.
  • Proven project management skills along with a high level of proficiency with MS Office Suite and the ability to learn new software quickly. Prior SharePoint and/or Bluebeam software experience a plus.
  • Ability to set priorities, organize work and work in a high production environment while responding quickly and effectively under pressure, changing priorities and tight timelines/deadlines.
  • Attention to detail/accuracy, quick learner and internally motivated to seek out answers, generate ideas, and develop new skills.
  • Strong written and oral communication skills to effectively disseminate information to all levels of employees.
  • Good problem-solving skills, with demonstrated ability to provide creative solutions to real-time challenges with consistent follow-through.
  • Team player who can operate effectively within a matrix management environment.

HOURLY BASE SALARY RANGE:
$27.00/hr - $30.00/hr
The range displayed reflects the range the company reasonable expects to pay for the position. The actual base salary is subject to variation due to the role, level, geographic location, relevant education, training, or experience, among other factors.
