Duration: 4-5 month contract (35 hrs/wk)

Pay Rate: $45-50/hr (contingent on experience)

Candidates must be able to work directly on a W2 without sponsorship. This includes OPT and No C2C.

Northeastern University seeks an experienced CourseLeaf contractor for a 4-5 month engagement to support a critical system upgrade and ongoing catalog and curriculum workflow operations. The successful candidate will serve as the institution's functional lead for the CourseLeaf 10 upgrade - conducting end-to-end testing of CIM proposal forms, workflow routing, the new Reporting Engine, and SIS integration continuity, and serving as the institutional sign-off point before production promotion. Alongside the upgrade work, the contractor will configure and monitor CIM approval workflows, manage course and program proposals through the queue (including rollbacks and shreds), enter approved data into Banner, and administer catalog publishing in CAT - including shared/borrowed content governance, page ownership assignments, and the annual go-live cycle. The engagement also includes developing updated training materials and supporting faculty, department chairs, and registrar staff through any workflow or interface changes introduced in v10. Candidates should bring hands-on CourseLeaf experience, familiarity with Banner, and the ability to hit the ground running in a complex, multi-campus environment.

Workflow Management

  • Configure and maintain approval workflow steps for course and program proposals, confirming who participates at each stage and in what order
  • Monitor active proposals in the workflow queue; identify and resolve bottlenecks (stalled, rolled back, or stuck proposals)
  • Manage the rollback and shred functions; rolling proposals back to earlier workflow steps or removing proposals and resetting them to their last approved state when needed

CIM Course & Program Forms Administration

  • Enter course and program rule data into SIS, once approved in Courseleaf (Banner)

CAT Catalog Management

  • Assign page ownership and workflow for catalog pages across departments and colleges
  • Manage Shared Content and Borrowed Content, ensuring information that appears on multiple catalog pages is maintained from a single source of truth
  • Enforce catalog editing deadlines and manage the annual go-live cycle, ensuring all approved changes are reflected before the catalog publishes
  • Confirm that approved CIM proposals flow correctly into catalog pages and verify data accuracy post-approval

CourseLeaf 10 Upgrade - Functional Testing

  • Review the upgrade patch in the TEST environment prior to approving it for the NEXT/production environment, serving as the institutional sign-off point
  • Conduct end-to-end functional testing of CIM course and program proposal forms in the v10 environment, verifying all form fields, validation rules, and conditional logic behave as expected
  • Test workflow routing in v10; submit test proposals through each workflow path and confirm approvers, notifications, and routing logic function correctly
  • Evaluate the new Reporting Engine introduced in CourseLeaf 10, building test reports and confirming data accuracy against known records
  • Test CAT page editing, workflow submission, shared/borrowed content rendering, and publishing output (web, PDF) in the v10 interface
  • Validate the enhanced user experience (UI/UX) changes in v10 against existing institutional configurations; flag any broken layouts, missing fields, or changed behaviors
  • Document all test cases, results, and defects; communicate findings to Leepfrog support and internal IT stakeholders
  • Coordinate regression testing with end users (registrar staff, curriculum committee members) to validate their specific use cases in v10
  • Verify SIS integration continuity post-upgrade; confirm data syncing between CIM and the SIS is uninterrupted
  • Participate in go/no-go decisions for upgrade promotion from TEST to NEXT/live

Stakeholder Support & Training

  • Develop or update quick reference guides and training materials for CIM, CAT, and Program Management workflows following the v10 upgrade
  • Train faculty, department chairs, and curriculum committee members on any workflow or UI changes introduced in v10
