Project Coordinator III - Mechanical Contracting

Role Summary the Project Coordinator III supports the planning, execution, and closeout of mechanical construction projects, including HVAC, piping, and controls scopes. This role provides mid-level coordination across engineering, procurement, field operations, subcontractors, and customers. The Project Coordinator III manages project documentation, assists with procurement, supports scheduling activities, and ensures timely communication between project stakeholders. This position works with moderate supervision and escalates issues appropriately.

Core Responsibilities

Project Documentation & Control

  • Maintain project files, logs, and documentation with accuracy and version control.
  • Assist with preparing and submitting submittals, RFIs, ASIs, and closeout documents.
  • Distribute updated drawings, specs, and engineer responses to field teams and subcontractors.

Procurement & Equipment Coordination

  • Support procurement of mechanical equipment and materials.
  • Track purchase orders, delivery dates, and shipping updates.
  • Coordinate with vendors on lead times, delivery schedules, and documentation needs.

Scheduling & Project Support

  • Assist PMs with updating project schedules and tracking milestones.
  • Coordinate site visits, meetings, and inspections.
  • Monitor project progress and flag delays or issues for PM review.

Field & Subcontractor Coordination

  • Communicate schedule updates, material arrival dates, and documentation changes to field teams.
  • Support coordination of deliveries, cranes, rigging, and site logistics as directed.
  • Assist with punch-list tracking and follow-up.

Financial & Contract Administration

  • Assist PMs with cost tracking, billing support, and change order documentation.
  • Maintain logs for change requests, quotes, and subcontractor pricing.
  • Ensure compliance with contract requirements, safety documentation, and project standards.

Customer & Stakeholder Communication

  • Support PMs in preparing meeting agendas, minutes, and status updates.
  • Communicate routine updates to vendors, subcontractors, and internal teams.
  • Escalate issues to PMs before they become critical.

Required Skills & Experience

  • 2-4 years of experience in mechanical contracting, HVAC construction, or related field.
  • Ability to read mechanical drawings and specifications.
  • Strong organizational and communication skills.
  • Proficiency with MS Office and project management tools (Procore, Trimble, Bluebeam, etc.).

The typical salary range for this position ranges from 59,500K - 97,900K. The range displayed represents a pay range for all positions in the job grades which this position falls. Individual base pay will depend on a wide range of factors including your skills, qualifications, experience, and location.
