Job Summary

Under general supervision, provide direction and oversight for the day to day operations of the School of Law Faculty Support Office. Lead and recommend improvements to business processes and procedures, including identifying options to enhance efficiency and service delivery. Advise the Director of Human Resources on the potential impact of policy and procedural changes and recommend appropriate solutions. Suggest and implement methods and procedures to support departmental goals and operational needs.

Lead, develop, and deliver training for Faculty Support Assistants. Select, hire, and train student assistants assigned to the unit. Assist the supervisor in monitoring daily workload and reallocating resources as needed based on staffing levels and business demands. Direct the activities of student assistants and administrative support staff, regularly assess performance, and provide constructive feedback. Analyze and assess workload to ensure effective coverage and timely support. Provide a high level of administrative, academic, and technical support to professors, lecturers, emeriti faculty, the Office of the Deans, and the Faculty Recruitment Chair on sensitive and complex matters. Perform administrative support functions critical to the successful operation of academic curriculum activities, including supporting faculty in research, publications, coursework, examinations, and the faculty academic personnel recruitment program.

Serve as the primary point of contact for faculty and related stakeholders, responding to inquiries via phone, email, and correspondence, and ensuring timely follow up to facilitate effective communication. Manage complex calendars; prepare itineraries and materials for courses, meetings, and presentations; and coordinate travel arrangements and related travel and entertainment reimbursements. Coordinate updates to orientation materials for new and visiting lecturers and professors, and facilitate orientation presentations. Provide technical support related to class video editing, publishing, and distribution. Apply strong problem solving skills, exercise sound judgment, and handle sensitive and confidential matters with discretion.

  • No Minimum Education required
  • Administrative experience with academic personnel or instructional support processes in a higher education setting or in complex, high-level executive offices.
  • Experience with planning and/or execution of recruitment or catered events, online scheduling of meetings and travel arrangements.
  • Skills in writing, editing and proofreading complex articles/books/manuscripts, reports, and a variety of general correspondence.
  • Supervisory skills to recruit, select, train, schedule, assign, motivate and evaluate student staff.
  • Computer skills and proficiency using database, spreadsheet, word processing, email, and other software such as Microsoft Word, Excel, PowerPoint, to create, format, and edit documents and spreadsheets containing data, calculated formulas, graphs and tables.
  • Oral, written communication and interpersonal skills to communicate and interact professionally with administration, faculty, staff, students and the public, using tact diplomacy, and good judgment.
  • Problem solving skills to develop creative solutions to general problems, initiative to attempt unfamiliar projects/assignments, and respond with flexibility to requests for assistance.

Preferred Qualifications

  • Experience with curriculum/instruction support of academic programs, campus and legal systems such as Smart Site, AggieTravel, Banner, Lexis-Nexis, Westlaw.
  • Organizational experience and skills to effectively manage multiple assignments and shifting priorities to meet deadlines and maintain a high level of productivity and efficiency.
  • Working knowledge of University academic personnel policies and procedures, including those specific to instructional activities within the School of Law.
  • Problem solving skills to research and analyze complex and differing information to make recommendations for decision-making.

Department Overview

The UC Davis School of Law is consistently ranked among the premier law schools in the United States overall and in terms of faculty and student quality and diversity. The school has nearly 600 Juris Doctor (JD) students enrolled in the full-time 3-year program, as well as a LL.M Program, certificates in Public Service Law, Business Law, Criminal Law, Environmental Law, Immigration Law, Intellectual Property Law and Tax Law, and Joint Degree programs, including JD/MBA, and JD/MA.The budget for the Law School exceeds $40 million including state funds, tuition and professional fee revenue, gifts and endowments. Work Environment

UC Davis is a smoke and tobacco free campus effective January 1, 2014.
