Summary: Seeking a House Manager for a property in located on the Chesapeake Bay in Lottsburg, VA. The House Manager will be responsible guest services, staff management, events management, and property management. This role requires a person who is organized, resourceful, self-directed, self-motivated, has excellent customer service skills. This person must be able to operate all duties with the utmost professionalism, discretion and confidentiality.
Responsibilities
Job Responsibilities The House Manager is responsible for:
- Working closely with a team to assist with scheduling travel trips for the owner and guests; individual must gather information such as number of passengers, arrival/departure, passport info (when applicable), catering, ground transportation, and other information requested. Individual will create and deliver travel itineraries.
- Managing property staff, to include housekeepers, outside contractors, chef/cook, handyman, etc. Approves staff timesheets. Provides feedback to the staff on work performance.
- Responsible for coordinating and monitoring all required maintenance and repairs, to include landscaping, pest control, smart house technology, HVAC, window cleaning, repairs and all contracts associated with each residence. Provide Executive office Manager with full details of any new accounts created for maintenance, utilities, etc. at residences to ensure timely payments of such.
- Coordinating and overseeing all access to property as need for special events, maintenance work (Landscaping, HVAC, Hot Tub, water sports, etc.), day and overnight guests. Keeps a detailed electronic calendar.
- Coordinates and tracks all appointments with Maintenance and Repair vendors, collects invoices/receipts, compares quotes to warranties, and keeps an accurate log of all work done on the property by outside vendors.
- Greeting the owner and/or guests upon arrival. Introduce guests to the property and their residence quarters. Answering questions/providing guest service during their stay.
- Ensures events are adequately staffed, to include collecting proposals for catering, entertainment, valet and other necessary vendors.
- Oversees household expenses and creates and maintains a process for property and personal inventory. Provides petty cash usage reports and receipts for both cash and credit cards. Conducts annual reviews in accordance with company policy.
- Can operate (or learn to operate) the AV, HVAC, Septic, security system, and respond to all alarm calls promptly with being present on site in 20-30 min.
- Understands, or can learn, the unique requirements of maintaining high value assets. As an example, directing the cleaning staff to use appropriate supplies to maintain and preserve high value finishes and materials in the home. Ensuring proper treatments and timeliness of treatments are conducted on landscaping and issues are addressed quickly, etc.
- Additional duties may include and are not limited to assisting with the set up and break down of events, housekeeping, inventory, caring for family pets, coordinating vehicle maintenance, etc.
- Can perform minor hands-on repairs as needed (eg - change light bulbs, troubleshoot AV equipment, etc)
Qualifications
Experience Required
- Three to five years of working within a private household or background in hospitality, to include event planning and budget management
- Two years of property and team maintenance/oversight
- High school diploma or GED, with 2 or more years of college or 5 years of related experience
- Proficient with computer/internet and Microsoft Office products (Microsoft Word, PowerPoint, Excel)
- Able to quickly learn and operate Smart Home technology system, Audio/Visual system, Security system
- Successful experience understanding and following company procedures
- Must be US citizen for access to classified information

Job Interactions
The House Manager will be required to be on site 5 days/week. The specific days of the week and job hours will need to be self-managed and will vary based on time of year and occupancy of the property. April through October are a very busy time at the property and will require evening, weekend, and holiday work. October through April are less busy at the property. The House Manager will not live on property so should be located within driving distance from the property. The House Manager will report to the owner of the home, and to the Executive Office Manager The House Manager will work closely with the Executive Office Manager, Personal Support Specialist, Lead Housekeeper, Driver, and Yacht Staff Abilities:
