Job Title: Commercial Operations Specialist - I

Location: Foster City, CA 94404

Duration: 6 Months (Possibility of extension depending upon business requirements and performance)

Description:

  • The client is seeking operational support for the Sales Operations team.
  • The role will report to the Sr. Director, Sales Operations, with dotted line management by the leads of the areas it will support.
  • Support will focus on Fleet Operations, Sample Operations, and Field Enablement.



Fleet Operations:

  • Manage new vehicle orders and status of surplus vehicle assignments, state transfers, and vehicle disposals/remarketing requests with suppliers
  • Audit Fleet data for accuracy and identify discrepancies requiring correction
  • Assist Fleet lead with driver compliance through review of driver records
  • Monitor vehicle registration renewals for timeliness, escalate/notify Fleet lead of outstanding driver requirements for follow up with field leadership
  • Generate routine Fleet reports, dashboards, and performance metrics
  • Maintain Fleet-related sustainability reporting



Sample Operations:

  • Coordinate Sample Operations activities related to:
  • Training verification
  • Inventory reconciliation, audit preparation, and follow-ups
  • Practitioner Authorization Change (PAC) forms and account updates in CRM
  • Triage field inquiries as first line of support related to sample ordering, storage, accountability, and compliance
  • Assist with investigation support and documentation compilation for:
  • Sample discrepancies
  • Loss/theft reports
  • Regulatory or internal audit requests



Field Enablement:

  • Review exhibit and sponsorship escalations for:
  • Completeness and policy alignment (letters of intent, agendas, required documentation)
  • Date accuracy, cost accuracy, and lead-time requirements
  • Monitor post-event attestation completion
  • Track missing or late attestations, ensuring compliance closure for all events
  • Licensing and Credentialing
  • Escalation support to facilitate timely completion of jurisdiction submissions & renewals



Qualifications:

  • 6 years pharmaceutical/biotechnology experience (including internship experience)
  • Field Sales or Commercial Operations experience
  • Microsoft Office proficiency required (Excel, PowerPoint, Word, Outlook)
  • Experience with AI tools highly preferred (CoPilot, ChatGPT, Claude, etc.)
