Position: Project Manager (Congresses & Regional Marketing)

Location: Mettawa, IL 60045 (Hybrid: Mon & Fri Remote | Tue-Thu Onsite)

Duration: 12 Months (Extension/Conversation based on performance and business need)

Position Summary:

This is an operational and execution-focused role designed to support cross-functional teams, Regional Marketing Managers, and leadership stakeholders. The primary focus is providing end-to-end project coordination, logistics management, administrative support, and documentation oversight across approximately 40 national and regional congresses, advisory boards, and healthcare provider (HCP) engagements.

While titled within marketing operations. It is ideal for an organized, process-driven project coordinator with strong Microsoft 365 skills (Excel & PowerPoint) who thrives in administrative efficiency and stakeholder communication.

Key Responsibilities:

1. Congress & Regional Marketing Coordination

  • Maintain and manage the master calendar and tracking systems for ~40 national and regional congresses (using Smartsheet and spreadsheets).
  • Build and manage operational dashboards to track team milestones and deliverables.
  • Support the execution of ~20 product theater events across regional and national conferences by gathering operational data and routing through internal compliance systems.
  • Assist in creating and updating congress playbooks, SOPs (Consulting, Advisory Board, and Execution), and advocacy guides.


2. Consulting & Financial Administration

  • Initiate, track, and manage contracts, purchase orders (POs), invoices, and payments for advisor consulting activities using enterprise systems (e.g., TipMed, SAP, Salesforce).
  • Maintain accurate records for budgeting, tracking team hours, and monthly invoice reconciliation.
  • Ensure all closeout documentation and post-consulting activities adhere strictly to internal compliance guidelines.


3. Content Support & HCP Repository Management

  • Organize, maintain, and spot-check the team's Healthcare Professional (HCP) Repository and advisor database.
  • Create advisor bio books, pre-consulting presentation decks, and post-event insight/conference summary presentations.
  • Regularly format and polish executive presentations in PowerPoint for leadership updates.



Required Qualifications & Skillset

  • Education: Bachelor's Degree required (Degrees in Data Analytics, Business, Communications, or related fields welcomed).
  • Experience: min 1-3 years of professional experience.
  • Prior marketing/pharmaceutical background would be highly prioritized for this role.
  • Microsoft 365 Proficiency: Strong hands-on proficiency in PowerPoint (weekly presentation creation/formatting) and Excel (data tracking, status sheets, and basic reporting).
  • Tech Savviness: Familiarity with Smartsheet, Salesforce, SharePoint, or similar enterprise platforms (SAP exposure is a plus, but systems are easy to learn on the job).
  • Core Competencies:
  • Exceptional organizational skills and high attention to detail.
  • Strong written and verbal communication skills across cross-functional teams and director-level leadership.
  • Ability to manage multiple administrative workflows, timelines, and contract processes simultaneously.
