Job Summary

We are seeking a highly organized and proactive Assistant to the CEO to support executive leadership in managing daily operations and strategic initiatives. The ideal candidate will possess exceptional administrative skills, technical proficiency, and the ability to coordinate complex projects. This role offers an opportunity to work closely with senior management, facilitating effective communication, event planning, and office management to ensure the smooth functioning of executive activities.

Responsibilities

  • Provide high-level comprehensive administrative support to the CEO, including calendar management, scheduling meetings, and taking phone calls and coordinating business travel arrangements.
  • Manage internal communication channels, ensuring timely dissemination of information across departments.
  • Organize and coordinate company events, meetings, and conferences with attention to detail and professionalism.
  • Maintain professional demeanor
  • Facilitate monthly committee meetings by preparing agendas and supporting documentation, take minutes
  • Handle confidential information with discretion while maintaining accurate records through filing systems and documentation processes.
  • Support project coordination efforts by tracking deadlines, preparing reports, and collaborating with various teams.
  • Utilize productivity software such as Microsoft Office, Microsoft Teams, and video conferencing tools to facilitate seamless communication and workflow.
  • Manage and maintain multiple contracts for facility (Education Affiliation Agreements, Service Agreements, Clinical Agreements etc.)
  • Renew and maintain hospital licenses and certifications
  • Maintain physician call schedule
  • Track and maintain hospital policies and approval processes.

  • Experience
  • Proven experience as an executive assistant or personal assistant supporting C-suite executives in a fast-paced environment.
  • Demonstrated proficiency in office management, project coordination, and administrative support functions.
  • Strong technical skills with expertise in Microsoft Office Suite (Word, Excel, PowerPoint), , and video conferencing software such as Zoom or Teams.
  • Proficient typing, proofreading, and writing skills ensuring clear and professional communication.
  • Experience organizing events, managing calendars via Microsoft Outlook Calendar or similar platforms, and handling business travel arrangements.
  • Experience and comfortable communicating with licensing boards and public agencies (WV Dept. of Human Services, Joint Commission, city and state entities)
  • Advanced proficiency in Microsoft Office Software and SharePoint preferred
  • Exceptional organizational skills combined with a proactive approach to managing multiple priorities efficiently.
  • Ability to handle confidential information discreetly while maintaining high standards of profession
  • Experience with hospital policy management and compliance preferred
  • Requirements:
  • Must be at least 21 years of age
  • Must have patience, tact, cheerful disposition and ability to maintain a professional demeanor in all situations
  • Effective communication skills; must be able to read, write, speak, and understand the English language.
  • Basic clerical skills, basic experience with office equipment (telephone, copy machine, fax, etc.)
  • Experience with Microsoft Office Software (Word, Excel, PowerPoint, Outlook, etc.)
  • Ability to understand and carry out oral and written instructions.
  • Ability to problem solve and accept feedback when circumstances warrant such actions.
