Fleet Coordinator

G4S Secure Solutions (USA) Inc., an Allied Universal Company, is hiring a Fleet Coordinator. The Fleet Coordinator provides day-to-day administrative and operational coordination for vehicles assigned to and supporting the contract. The Coordinator maintains vehicle accountability, coordinates vehicle placement and assignments, schedules maintenance and inspections, monitors readiness and availability, maintains complete fleet records, and follows up with vehicle vendors and operational personnel to ensure fleet issues are addressed promptly.

Working under the direction of the Program Manager, the Fleet Coordinator serves as the routine point of contact for vehicle status, maintenance coordination, documentation, and vendor follow-up. The position identifies and escalates issues that may affect safety, mission readiness, service delivery, or cost.

RESPONSIBILITIES:

Manage and maintain accountability for all vehicles assigned to and supporting the contract
• Coordinate and oversee vehicle servicing, preventive maintenance, repairs, inspections, and other fleet requirements to ensure vehicles remain safe, reliable, and operational
• Serve as the primary liaison and point of contact with vehicle leasing vendor for all vehicle-related matters; coordinate vehicle assignments, availability, maintenance, repairs, inspections, replacements, and other vehicle needs
• Communicate vehicle deficiencies, operational concerns, and service requirements to leasing vendor and follow up to ensure timely resolution
• Monitor vehicle availability and readiness to support scheduled transportation missions and operational requirements
• Maintain accurate and current records of vehicle assignments, inspections, maintenance, repairs, service history, and other required fleet documentation
• Present records and participate in DOT/FMSCA audits
• Monitor fleet operations to promote vehicle safety, reliability, fuel efficiency, and cost effectiveness
• Ensure assigned vehicles are maintained and operated in accordance with applicable laws, regulations, company policies, contract requirements, and customer standards
• Identify and communicate vehicle needs that may affect transportation operations, mission readiness, or service delivery
• Provide guidance and recommendations to the Program Manager regarding fleet maintenance, vehicle operations, safety, efficiency, and overall fleet effectiveness
• Coordinate with operational personnel regarding vehicle issues, availability, and transportation requirements
• Assist with addressing vehicle-related incidents, breakdowns, or other unexpected issues to minimize disruption to transportation operations

QUALIFICATIONS (MUST HAVE):

• High school diploma or recognized equivalent
• Valid driver's license if driving a company or customer owned vehicle
• Minimum of two (2) years of experience in fleet coordination, vehicle maintenance administration, transportation operations, logistics, dispatch, vendor coordination, or a related function
• Experience maintaining vehicle records, scheduling service, tracking repairs, and coordinating with drivers, maintenance providers, dealerships, lessors, or fleet vendors
• Experience using spreadsheets, fleet-management systems, maintenance databases, telematics platforms, or similar tracking tools
• Working knowledge of preventive maintenance, vehicle inspections, repair coordination, registration and licensing records, fuel and mileage tracking, and fleet-readiness practices
• Proficiency with Microsoft Excel and Microsoft 365 or Google Workspace applications
• Strong organizational, recordkeeping, follow-up, customer-service, problem-solving, and oral and written communication skills
• Ability to manage multiple open vehicle issues, maintain accurate status information, and escalate safety or operational concerns promptly
• Ability to protect sensitive information and comply with company, client, contractual, safety, and access-control requirements

PREFERRED QUALIFICATIONS (NICE TO HAVE):

• Associate degree in business administration, logistics, fleet management, transportation, automotive technology, or a related field
• Experience supporting buses, passenger vans, commercial vehicles, detention transportation, or other 24/7 transportation operations
• Experience coordinating leased vehicles and working with fleet-management or maintenance vendor
• Experience with Samsara or another GPS, telematics, electronic inspection, or maintenance-tracking platform
• Knowledge of DOT/FMCSA requirements, state vehicle requirements, or federal-contract fleet documentation, as applicable to the assigned vehicles
• Fleet, automotive, maintenance, or transportation certification or participation in a professional fleet association such as NAFA
