Job Summary
Estrella Mountain Community College (EMCC) is hiring an Administrative Specialist Senior for the Center for Teaching and Learning (CTL). This position plays an important role in keeping our programs and day-to-day operations running smoothly. As a first point of contact for the CTL, this person provides helpful, professional customer service and understands our work well enough to answer questions, solve problems, and connect people with the right resources. To best serve the students, department, and college, this position is fully in-person. Essential Functions
30% - Coordinates and prioritizes administrative support for CTL events, meetings, and day-to-day office operations, including front desk operations. Coordinates room reservations, schedules, registrations, calendar invitations, signage, promotion, catering, meeting materials, session evaluations, attendance tracking, and other event logistics. Independently identifies and resolves routine operational issues. 25% - Researches, gathers, compiles, and reviews data and information in support of CTL programs, projects, assessment, and decision-making. Maintains program records, participation data, evaluation results, files, and other documentation according to established procedures. Prepares reports and summaries of relevant information as needed. 20% - Monitors and tracks CTL budgets, funding, expenditures, invoices, and expense reports and assists with budget planning and preparation. Reviews financial transactions for accuracy and compliance with established procedures. Coordinates purchasing, monitors inventory, works with vendors, and procures office supplies, program materials, food, and other resources needed for CTL operations. 15% - Serves as a first point of contact for the CTL and provides professional customer service to faculty, staff, students, community members, vendors, and other partners. Responds to inquiries and requests, resolves issues within the scope of the position, and refers individuals to the appropriate resource when needed. Provides accurate information about CTL programs, events, services, policies, and procedures. 10% - Prepares and formats correspondence, presentations, documents, and other communication materials. Provides administrative support for CTL projects and special initiatives and coordinates activities with internal and external partners as needed. Performs other duties as assigned consistent with the level of the position. Minimum Qualifications
Associate's degree from a regionally accredited institution and two (2) years of full-time equivalent administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities. OR An equivalent combination of education and/or experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications
1. Three (3) years of experience in an advanced administrative support position in a college, university, or similarly complex professional environment, including independently coordinating multiple priorities and deadlines. 2. One (1) year of experience coordinating workshops, events, meetings, or programs, including scheduling, registrations, calendars, communications, materials, and other event logistics. 3. Experience monitoring budgets, expenses, requisitions, and purchases in a financial management system such as FMS. 4. Experience using technology such as Microsoft Office, Google Workspace, Zoom, and similar tools to support operations, communicate with stakeholders, create files, and track information. 5. Experience gathering, organizing, maintaining, and reviewing data and records and preparing reports or summaries to support program operations and decision-making. 6. Experience providing high-quality customer service for a variety of stakeholders such as college employees, students, and community partners, problem-solving independently and determining when to bring in other people or resources. 7. One year of full-time, relevant MCCCD experience within the previous two years. Special Working Conditions
